Do You Need Jobber If You Already Have QuickBooks Online? (2026)

If your crew is one to five people, QuickBooks Online probably already does the part of Jobber you'd pay for.

The short answer

For most one-to-five person service businesses, no. QuickBooks Online already handles estimates, invoices, deposits, payment reminders, and card payments. Add QuickBooks Time and it also schedules your crew and tracks their hours with GPS. Connect, Jobber's cheapest plan that syncs with QuickBooks, adds route planning, job checklists, and automatic visit reminders for about $60 to $110 more a month than QuickBooks plus QuickBooks Time for a three-person crew, plus the work of keeping two systems in sync. At this size, most shops cover those with a phone and a group text. If you want work orders and job photos on top of QuickBooks, a free field app like ToolBerry covers that without a second subscription.

Jobber sees it differently. Its own comparison page says "QuickBooks is not a Jobber alternative" and pitches running both, with Jobber syncing into your books (Jobber). Here's the math so you can decide.

A few things the sticker prices don't tell you:

  • You still need QuickBooks if you add Jobber. Jobber isn't accounting software, so the Jobber row always includes a QuickBooks bill. QuickBooks does have a $0 Free plan (Intuit), but Jobber's sync only works with Simple Start and up (Jobber).
  • QuickBooks Time needs Essentials or higher. It doesn't work with Simple Start (Intuit, updated August 2026).
  • Jobber's cheapest plan can't talk to your books. The QuickBooks sync isn't on Core ($29 to $49 a month). It starts on Connect, which is $99 to $139 a month for one user (Jobber).
  • Jobber's annual plan is non-refundable and every plan auto-renews (Jobber pricing).
  • Both have raised prices. Jobber Core month-to-month went from $29 in August 2024 (archived Jobber pricing) to $49 today. QuickBooks raised Essentials, Plus, and Advanced for renewals from August 1, 2026 (Intuit), and Plus is now $140 a month.

What does QuickBooks Online already do for a service business?

More than most owners use. On its own, QuickBooks Online lets you:

  • Send estimates customers approve online, and take a deposit on them.
  • Invoice in stages with progress invoicing, or set up recurring invoices for maintenance customers.
  • Chase late payments automatically with up to three email reminders.
  • Take card and bank payments at 2.99% for cards and 1% for bank transfers (QuickBooks Payments rates). Jobber charges 2.9% + 30¢, so fees are basically a wash.
  • Get a customer signature on the job from the QuickBooks mobile app.

Can QuickBooks schedule my crew?

Yes, with QuickBooks Time. Since June 2026 it lives inside QuickBooks Online instead of a separate app (Intuit). With it you can:

  • Build a schedule by dragging shifts, assigning people, and adding the job address and notes. Crew get a notification when it's published (Intuit).
  • Track hours with GPS, and let crew attach photos to their timesheets.
  • Clock in without signal. The QuickBooks Workforce crew app says workers can clock in and out "even without Wi-Fi or service" (Intuit).

A scheduled shift with an address and notes isn't a full work order. But for a crew of two, it tells everyone where to go and what to do, which is most of what a work order does at that size.


What does Jobber do that QuickBooks can't?

Fair is fair. These are the real gaps, and what a small shop usually does instead:

What does keeping Jobber and QuickBooks in sync really cost?

This is the part the pricing page leaves out. When you run both, your books depend on the sync.

  • It's one-way now. A Jobber staff member confirmed in May 2025 that "the sync is now a true one-way sync" from Jobber into QuickBooks (Jobber Community). A payment marked paid in QuickBooks no longer updates Jobber.
  • Deposits and invoices can drift apart. Jobber records the full payment, your bank deposits it minus fees, and someone has to match the two. One owner asked how to do it without the income being "doubled up" (QuickBooks Community, June 2025), and a bookkeeping firm warns the fee gap leaves "ghost receivables" (CapForge, February 2026). Jobber's newer integration now syncs fees and payouts to close that gap (Jobber), and it is still rolling out.
  • Jobber lists the common errors itself: duplicate clients and products, tax rates that don't match, and books closed for a past period (Jobber help).
  • It has gone wrong at real businesses. In February 2025, before Jobber's sync redesign, one owner reported $40,000 in undistributed funds and about 1,000 invoices to fix (Jobber Community).

None of this means the sync always breaks. It means a second system in front of your books is a second thing to watch, and at one to five people that's usually you.

  • In ToolBerry: the schedule, the job, the checklist, the before and after photos, the gate code in the site notes, the "On My Way" text, and the quote PDF you send from your phone.
  • In QuickBooks Online: the invoice, the card payment, the reminders, and your books. ToolBerry Free doesn't take card payments, and QuickBooks already does that well.
  • Between them: you enter the bill in QuickBooks yourself. An automatic QuickBooks Online connection is part of ToolBerry Pro and is in pilot today, because that connection runs through a server account rather than on the device. Pilot customers can request access.

So which setup fits your shop?

Stay on QuickBooks Online alone if:

  • Most of your work is repeat or referral customers, and a text is how you dispatch.
  • You'd rather keep one set of numbers than reconcile two.

Add ToolBerry next to QuickBooks if:

  • You want work orders, checklists, photos, and site history without another monthly bill.
  • You work in basements, rural routes, or anywhere the signal drops.
