Adding a helper shouldn't add a bill. Here's what's coming to ToolBerry Free, and why.

The short answer

Yes, a small crew will be able to share ToolBerry without paying per user. Starting in early October, ToolBerry Free is planned to let you bring a helper into your jobs with a single link.

There's no seat fee, nothing for your helper to sign up for, and your data stays in your own Dropbox. It isn't live yet. Here's what it will mean for you.


What does that look like on a real job?

You send a link, your helper sees the job, and you both work from the same page.

Imagine you run a one-truck landscaping business. A customer books a full backyard cleanup for Saturday. It's a two-person job, so you call a friend who has helped you before.

Today, that usually means a string of texts: the address, the gate code, a screenshot of the job notes, photos of how the yard should look when you're done. Afterward, you type up whatever they tell you.

With a shared workspace in ToolBerry Free, you'll add your friend to your crew, assign them the job and send one link. They tap it and see the job on their own phone: the address, the checklist, the notes, the photos. They check off tasks and add their own photos as they go, even in a back lot with no signal.

On Monday, you remove their access, and the job disappears from their phone the next time it's online.


What will it cost me?

Nothing per person.

Most field service apps charge for every extra user. Jobber lists each additional user at $29 a month, and Housecall Pro at $35 (Jobber pricing, Housecall Pro pricing, both checked September 25, 2026). That's a monthly bill for someone who might work with you twice a season.

ToolBerry Free has no such line item. Your crew's jobs run through your own Dropbox, not a ToolBerry server, so there's no server bill for us to pass on. I explain why Free stays free in No Cheese in the Trap.

I care about this because I've seen the other side. Early in my career I worked with a business owner who ran several companies, and every person needed a paid license in every one of them. Trying anything new meant paying for seats before you knew if it would work.

Small service businesses grow one extra pair of hands at a time: a cousin, a friend, someone you pay by the job. You bring them in for their skill and because you trust them. The app shouldn't charge you for that, or get in their way.


What's the catch?

  1. Roles hide screens, but they don't lock data. Locked-down permissions are part of ToolBerry Pro.
  2. Updates show up within minutes, not instantly. Fine for "done by the next job," not for sending crews around as calls come in.
  3. There's no full team history of who changed what. That's a Pro feature too.

When can I use it?
