The short answer
On an HVAC route, the visit goes well when the equipment's history is right in front of you: make, model, serial, refrigerant type, filter size, install date, warranty status, and exactly what you did last time. The problem: every visit starts from zero
You pull up to a house you were at fourteen months ago. The homeowner says "you guys were here for the same thing last spring." You don't remember the unit. You're standing at the condenser trying to read a sun-faded data plate, texting your buddy to ask what the filter size was, and guessing whether the compressor is still under warranty.
So you carry a 16x25x1 out to the van on a hunch, and it's a 20x25x1. You top off refrigerant without the last superheat reading to compare against, so you can't tell if there's a slow leak. You quote a capacitor without knowing the unit's only three years old and the part's still covered. None of that is a skill problem. It's an information problem - the history existed, it just wasn't anywhere you could reach.
At one truck, the history lives in your head, and mostly that works. The trouble starts the day a second tech runs your route, or you're on vacation, or eighteen months pass between visits. The knowledge doesn't scale, because it never left your memory.
What "equipment history" should actually capture
A customer's name and address isn't equipment history. For HVAC, the record that saves you a second trip looks like this:
- The unit itself - type (condenser, furnace, heat pump, mini-split, air handler), brand, model number, serial number, install date, and where it sits on the property.
- The specs you need before you drive out - refrigerant type (R-410A, the older R-22, or the newer A2L blends like R-454B and R-32 now shipping on new systems), filter size, tonnage, SEER2, electrical.
- Warranty - parts and labor expiry, and whether it was registered (the difference between a 10-year and a 5-year parts warranty).
- Service history - every visit, what was done, parts installed, and the readings that matter over time: superheat, subcooling, static pressure, capacitor microfarads. A photo of the data plate and the line set.
That refrigerant field isn't just convenient, either. Under the EPA's Section 608 rules, refrigerant handling on many systems has to be documented - so "what's in this unit" is a record you're expected to keep, not just a nice-to-have.
Equipment as records, not notes in a box
Here's the part most apps get wrong. They give you one "notes" field per customer, and everything - two systems, a thermostat, three years of visits - gets typed into the same blob until nobody can find anything. The notes field is where information goes to die.
Real equipment history needs structure, because a real system has structure. A house can have two systems. Each system is really a set of linked parts: a condenser outside, an air handler or furnace inside, a thermostat on the wall, maybe zone dampers. ToolBerry tracks equipment as actual records with parent-and-child relationships - the system is the parent, the components hang under it - so when the blower motor you replaced fails again, the history is right there on that component, not lost in a paragraph. Why this matters more as you add trucks
Equipment history is the clearest example of knowledge that has to leave your head as you grow. With one tech, the guy who installed the system is the guy servicing it. With three techs, the person on today's call has probably never seen this unit - so the only way the visit goes smoothly is if the last tech's readings, parts, and photos are sitting on the equipment record for them to open.
That's the quiet upgrade: not a fancier app, but a business where any tech can walk into any repeat call already knowing the system. The history stops being a thing one person remembers and becomes a thing the company owns.
The honest tradeoffs
You have to enter the equipment once. The history only helps if it's in there, and back-filling every existing customer is real work. Don't try to do it all at once - add the system the day you're standing in front of it, snap the data plate, and your book fills in over a season of normal visits.
