How to create an electrical invoice

Electrical jobs often combine big items like a panel upgrade with small ones like device swaps. The form at the top of this page puts each one on its own line and shows the finished invoice as you type.

  • 1. Enter your business name, phone, email and your electrical contractor license number if your state requires it.
  • 2. Add the customer's name and the service address where the work was done.
  • 3. Set the invoice number, the issue date and the due date.
  • 4. Upload your logo if you have one. It is kept in this browser and prints on the document.
  • 5. Add one labor line per circuit, panel or set of devices, with the quantity for per-device pricing.
  • 6. Add the panel, breakers, wire and devices as materials lines and mark them taxable where your state taxes them.
  • 7. Add the permit and inspection fee as its own line, then set your tax rate.
  • 8. Note the inspection result and your warranty in the notes, check the preview, then print or save as PDF.

What to include on an electrical invoice

An electrical invoice is often the only record a homeowner has of what is inside their walls and panel. Be specific, and the next electrician or home inspector can read it too.

  • Breaker types and ratings: AFCI, GFCI or dual function, and the amperage of each new circuit.
  • Wire size and type for new runs, such as 6 AWG copper for a 50A EV charger circuit, and the run length.
  • Where each device went: "Replace 4 kitchen countertop outlets with GFCI" is clearer than "outlets".
  • Permit number and inspection status, so the customer has proof the work was inspected.
  • Who supplied major equipment, such as an EV charger or a generator, if the customer bought it.
  • Your labor warranty, the service date, payment terms and accepted payment methods.

Electrical billing and pricing tips

Many electricians price common work from a flat-rate book, such as per outlet, per fixture or per circuit, and bill troubleshooting by the hour. Hunting down a tripping breaker or an open neutral can take ten minutes or three hours, so hourly protects you there.

Panel upgrades usually require a permit, coordination with the utility to disconnect and reconnect power, and an inspection before the power goes back on. Price the job to cover the extra trips, and list the permit fee on its own line.

Code changes affect your price. The National Electrical Code is updated every three years, and states and cities adopt different editions on their own schedule. When an older home needs AFCI or GFCI protection or a grounding fix to meet the code your area enforces, list it as a separate line so the customer sees why it was added.

For EV chargers and other large loads, do a load calculation before you quote. If the existing service cannot carry the new load, quote the panel or service upgrade separately so the customer can decide.

Electrical invoice vs estimate

Send an estimate before a panel upgrade, a rewire or an EV charger install, so the customer approves the scope and price before you pull a permit. Send the invoice once the work passes inspection. Use the Invoice or Estimate switch at the top of the page to create either one with the same form.

After the job is billed

This generator works well for a one-off invoice. If you bill several jobs a week, the free ToolBerry app keeps jobs and clients in one place, so you can see what you did at an address before you open the panel again. Create estimates and invoices on your phone and turn an accepted estimate into a job or an invoice without retyping.

Share the PDF or send it from your own email, capture the customer's signature on the device, and track which invoices are paid, partly paid or overdue. It works offline in basements and new builds with no signal, and it runs on iPhone, Android and the web.

Frequently asked questions

Do electricians charge sales tax on labor?
It depends on the state, and sometimes on whether the job is a repair or new construction. Some states tax labor, some tax only materials. Check with your state's revenue department or a tax professional, then mark only the taxable lines.
Should I charge per outlet or by the hour?
Per device works well for routine swaps you can price ahead, like outlets, switches and light fixtures. Hourly fits troubleshooting and old wiring where the scope is unknown. You can use both on one invoice.
How do I bill the permit and inspection?
Add the permit and inspection fee as its own line, separate from labor, and put the permit number in the notes. If a failed inspection needs a return trip, decide ahead of time who pays and say so in your estimate.
Should I list breakers and wire separately?
Yes. Listing breakers, wire and devices as materials lines shows the customer what was installed, lets you tax only the taxable items, and gives the next electrician a record of what is in the panel.
What if code requires extra work the customer did not expect?
Explain the code requirement before you do the work, get the customer's approval, and add it as its own line on the invoice. Code rules vary by area, so check with your local building department or licensing board.
What warranty should I put on an electrical invoice?
State your labor warranty, such as 1 year, and that devices and equipment carry the manufacturer's warranty. Note any equipment the customer supplied, since you may not warranty it.
Is this electrical invoice generator free?
Yes. There is no signup and no watermark. Your draft, logo and currency stay in this browser, and nothing is uploaded. Click Print or save as PDF, then choose Save as PDF in your browser's print window.
