How to create a handyman invoice

A handyman invoice usually covers several small tasks in one visit, so the goal is to make each charge easy to recognize. Use the form at the top of this page and follow these steps.

• 1. Enter your business name, phone and email so the customer knows who to pay and how to reach you.
• 2. Add the customer's name and the service address where the work was done.
• 3. Give the invoice a number and set the issue date and the due date.
• 4. Upload your logo if you have one. It is kept in this browser and prints on the document.
• 5. Add one line per task, such as the drywall patch or the faucet swap, and mark each as labor.
• 6. Add parts and supplies as separate materials lines and mark them taxable if your state taxes them.
• 7. Add a trip charge or any other fee as its own line, then enter your tax rate.
• 8. Write your payment terms in the notes, check the preview, then use Print or save as PDF.

What to include on a handyman invoice

Customers pay faster when they can match every line to something they saw you do. A vague line like "repairs, $600" invites questions. A list of tasks with a price next to each one rarely does.

• Each task on its own line: "Rehang closet door" and "Caulk master tub" read better than one lump sum.
• Your pricing method: show hours and your hourly rate for open-ended work, and a flat rate for jobs you quoted as a fixed price.
• Materials listed separately from labor, with the item and quantity, so the customer sees what they paid for.
• Any materials markup built into the price you charge for parts, applied the same way on every job.
• A trip charge or service call fee if you have one, stated clearly instead of hidden in the hourly rate.
• The service address, the date of the work, your payment terms and the ways you accept payment.

Handyman billing and pricing tips

Small jobs are where handyman income leaks away. Driving across town to tighten a hinge costs you the same fuel and time as a full afternoon job, so set a minimum charge, such as one or two hours of labor, and put it in writing before you schedule the visit.

For bigger projects like a bathroom refresh or a deck repair, ask for a deposit before you buy materials. A deposit that covers the cost of parts protects you if the customer changes their mind after you have already made a trip to the supply house.

Jobs grow. You open a wall to patch a hole and find a soft subfloor or a leaking valve. When that happens, stop and get approval before doing the extra work. A short written change order with the added task and price avoids an argument when the final invoice is higher than the original quote.

Put your late fee policy in the notes on every invoice, not just the ones that go unpaid. If you charge a fee after 30 days, customers should see that the first time they get a bill from you, and you should check that the fee is allowed where you work.

Handyman invoice vs estimate

An estimate tells the customer what a job should cost before you start. An invoice tells them what they owe after the work is done. Many handymen send an estimate for anything over a few hundred dollars, then turn it into an invoice once the job is finished.
